Constituency and Casework Officer

Rachel Woods is looking for a Constituency and Casework Officer on a 12-month temporary contract with possible extension

Term: Immediate start. 37 hours per week.

Salary: £10.26 per hour (£19,740 pa) plus pension contribution.

Reports to: Rachel Woods MLA.

Job Location: Bangor Constituency Office, 12 Hamilton Road, Bangor, BT20 4LE and Parliament Buildings, Stormont, Belfast, BT4 3XX

Job Summary

  • Providing information/advice to constituents on range of issues and gathering relevant information to assist with resolving cases.
  • Managing and progressing a portfolio of casework appropriately and ensuring enquiries are dealt with sensitively and confidentially in line with Data Protection Act and GDPR.
  • Retaining records and information confidentially and in line with GDPR.
  • Developing and implementing office systems/procedures and ensuring constituency office is fully equipped.
  • Assisting with MLA’s diary management including making travel arrangements and managing day to day accounts.
  • Keeping records of and processing all transactions involving MLA’s expenditure.
  • Responding to communication and enquiries from constituents, the media, lobbyists and pressure groups and drafting letters and correspondence.
  • Analysing patterns of enquiries and producing reports.
  • Attending All Party Groups, constituency surgeries and other meetings as appropriate on behalf of/with Member.
  • Organising and providing secretarial support for meetings, including writing minutes of meetings.
  • Providing general admin support (typing, emails, phone calls, distributing mail, filing, photocopying, etc.).

Other duties as required in support of the MLA carrying out their Assembly duties.

Person Specification
Essential criteria

  • Educated to 3rd level
  • Minimum one year’s experience in advice work.
  • Demonstrable knowledge of the social security system, Universal Credit, PIP process and social housing system in Northern Ireland.
  • Minimum one year’s experience working with local government and statutory agencies.
  • Minimum of one year’s experience of working with voluntary or community organisations.
  • Proven ability to use a variety of I.C.T. equipment and software packages to include full Microsoft suite and Outlook.
  • Experience of working in a small office environment.
  • Proven strong verbal and written communication skills.
  • Excellent team working skills.
  • Ability to effectively plan and organise own workload and coordinate other resources to meet deadlines.

Desirable criteria
Qualifications in general advice work, or social security system/housing.
Experience with and knowledge of the planning system in Northern Ireland.
